Spec sheets, catalogues and technical collateral for manufacturers

How to design datasheets and catalogues that a technical buyer can actually use during evaluation, and the formatting mistakes that make good products look unprofessional.

Welding work on a factory floor

A datasheet is a working document a buyer keeps open next to a drawing while checking whether a part fits. If the specifications are buried in paragraph text or a low-resolution scanned table, the datasheet fails at the one job it has, no matter how good the product photography is.

What a usable datasheet needs

  • A specification table on the first page, with units clearly marked.
  • A dimensional drawing with tolerances, not just a product photo.
  • Material and certification details in a consistent place across every product's sheet.
  • A revision date, since specifications sometimes change and buyers need to know they have the current version.

Catalogue design for a technical audience

A catalogue organised by application or industry, with a clear index, helps a buyer find the relevant section fast. Long, unindexed PDFs where every product looks the same are a common reason a genuinely capable manufacturer's range looks harder to navigate than a smaller competitor's.

A buyer will use a well-structured datasheet as a reference for years. A poorly structured one gets requested again and again.

File formats and accessibility

Keep file sizes reasonable for email attachment, provide a text-searchable PDF rather than a scanned image, and offer the same specification content on the website itself so it is indexable by search engines, not locked away in a download only.

The takeaway

Put dimensions and tolerances in a table on the first page of every datasheet — buyers use it as a reference, not a read-through document.
