Adding WhatsApp chat and click-to-call to your website properly

How to place WhatsApp and call buttons so they help rather than get in the way, pre-fill useful messages, respect working hours and show where each chat began.

A user interface kit open on a large screen

A packaging manufacturer adds a green WhatsApp button to every page. Within a week the sales team is answering messages that just say 'Hi' late at night, with no idea which product the person wants, and the owner cannot tell whether the button brings business or only noise. The button is not the problem. The setup behind it is.

Choose the number and the account first

Decide which phone and which WhatsApp account will receive these conversations before anyone designs a button. If the link points to a salesperson's personal number, the chat history and the customer's contact details leave when that person does.

  • Use the WhatsApp Business app on a company-owned number for modest volumes, or the WhatsApp Business Platform through an approved provider when several people need to answer from one number and conversations need to sit in a CRM.
  • Complete the business profile, including address, website and hours, so customers know who they are talking to.
  • For calls, use a number that rings where someone will answer, such as a hunting line or a cloud telephony number that passes the call to the next free person.

Numbers that arrive through these channels are personal data under India's DPDP Act 2023, whose notice and consent duties are being phased in under the DPDP Rules 2025. Plan to that standard now. A customer who messages you about a quote has not agreed to promotional broadcasts, so ask for their consent before adding them to one.

Place buttons where they help, not where they cover

A floating button in a bottom corner is the familiar pattern, and it works on mobile as long as it stays out of the way. Trouble starts when it sits on top of something people need to tap.

  • Check every page template on a phone. The floating button should not cover a form's submit button, an add-to-cart bar, a cookie banner's options or the last line of text.
  • Do not stack a WhatsApp button, a call button, a chatbot and a back-to-top arrow in the same corner. Combine them into one control or choose one.
  • Add links in context where intent is highest: beside prices, within product and service pages, and next to the quote form for people who would rather talk.
  • Put the phone number in the mobile header as a tappable link in international format, written as tel:+91 followed by the number with no spaces, so overseas visitors can dial it too.

On desktop, a call link may open an app the visitor never uses, and a WhatsApp link opens WhatsApp Web or the desktop app, which needs a linked phone. On larger screens, show the number as readable text and consider a small QR code that opens the chat on the visitor's phone.

Pre-fill the first message with context

WhatsApp's click-to-chat link is wa.me/ followed by the full number in international format, with no plus sign, spaces or leading zero. Add ?text= and a URL-encoded message, and the chat opens with that message already typed. The visitor can edit it before sending.

The pre-filled message is the one line of the conversation you get to write, so use it to tell your team where the customer came from.

  • On a corrugated boxes page: 'Hello, I saw your corrugated boxes page and would like a price for…'
  • On a careers page: 'Hello, I would like to ask about job openings.' This keeps job seekers out of the sales queue.
  • On an export page: 'Hello, I am an overseas buyer interested in…', which tells the team to reply in English and quote in the right terms.

Keep each message short and end it where the customer adds the detail. Encode spaces and special characters properly, and test every link on Android and iPhone.

Be honest about when someone will answer

A call button that rings out in the evening, or a message left unanswered until Monday, feels worse than no button. Set expectations before the customer taps.

  • State your hours beside the button or number, for example 'Monday to Saturday, 9.30 am to 6.30 pm IST'. Overseas buyers need the time zone.
  • In the WhatsApp Business app, turn on a greeting message for first-time contacts and an away message scheduled for outside business hours that says when you will reply.
  • Consider hiding the call button outside working hours with a simple script while keeping WhatsApp visible. A message can wait; a ringing phone cannot.
  • Save quick replies for questions that come up daily, such as minimum order, delivery areas and catalogue requests, so answers stay fast and consistent across the team.

Let your team see which page each chat came from

The pre-filled messages already do most of this work. When each page opens the chat with its own first line, whoever answers can see which product or page the customer was looking at, and reply with the right price list instead of asking.

  • Keep a short shared list of each pre-filled message and the page it belongs to, so new staff recognise them.
  • Label chats in the WhatsApp Business app by the product or page they started from.
  • When someone deletes the text before sending, ask which page they were on in the first reply rather than guessing.

Counting taps on these buttons as conversions, and checking them against real enquiries, is covered in our post on tracking calls, WhatsApp clicks and forms as Google Ads conversions.

The takeaway

Write a page-specific pre-filled message for your three busiest pages, then set a WhatsApp away message that tells people outside working hours when you will reply.
