A prospect opens the case studies page on your website. They read that you delivered 'end-to-end excellence' for 'a leading company', that the client was 'delighted' and that results 'exceeded expectations'. They close the tab no better informed and slightly less trusting than before. Most case studies fail this way. They are written to sound impressive rather than to help a buyer picture working with you.
Buyers read case studies looking for a situation like their own. Lead with that situation, not with your company history. A structure that holds up:
Constraints and choices are where credibility comes from. Any firm can say it improved a client's operations. Only the firm that did the work can explain why a contract warehouse moved fast-moving spare parts to the bays nearest dispatch before switching software, and what that meant for the client's staff during the changeover.
Ask before you start writing. Many clients are willing but need sign-off from management, a legal team or a parent company, and that takes weeks. Check your contract for confidentiality clauses first.
When a client cannot be named, write an anonymised version that keeps the situation specific. 'A Chennai auto-parts distributor supplying dealers across the south' is still useful to a reader. Never build a composite client and present it as a real one.
Your team remembers the work. The client remembers why it mattered. A half-hour call with the person who hired you gives you language no internal brief can supply. Ask open questions and let them talk:
Record the call only with their agreement, and send them each quote exactly as it will appear. Tidying spoken grammar is fine; changing the meaning is not.
Detail makes a story checkable. Replace general claims with facts a buyer can picture.
People believe a story they could check, even if they never do.
If you include numbers, use ones the client agrees with and state the period and how they were measured. A modest result with a clear basis convinces more than a large one without it. ASCI, India's advertising self-regulator, expects marketing claims to be substantiated, and that is a sensible standard for case studies too.
Some phrases tell a reader to stop trusting the page. Remove them on sight:
Finally, include one thing that did not go to plan and how it was handled: a changeover weekend that overran, or a first month of teething problems. It shows the reader what working with you looks like when something goes wrong, which is the question they are really asking.
Take your best existing case study, strike out every phrase that praises your own company, and replace each one with a fact the client would confirm.
