Export & Import

Overseas importers often judge an Indian supplier on a forwarded PDF catalogue and an FOB or CIF quote. We make both hold up, then turn the enquiries into samples and first orders.

The problem

What makes this sector different

An overseas importer rarely visits before a first order, so your catalogue, website and speed of reply stand in for a factory tour. Many enquiries from Alibaba, Global Sources or TradeIndia ask only for an FOB price, with no quantity or destination port. Quotes move with freight rates, the exchange rate and the Incoterm agreed, and a buyer claiming lower duty under a trade agreement needs a preferential certificate of origin, applied for through the DGFT, that matches what you quoted.

How the decision gets made. An importer usually shortlists several suppliers, asks for catalogues and prices on a stated Incoterm, then orders samples before a trial shipment. The owner or purchasing head on the buyer's side signs off, often after a video call, a supplier audit or pre-shipment inspection, or a meeting at a trade fair.

What each discipline does for export & import

An export order usually starts with a sample and a quote on a stated Incoterm, often before the buyer has spoken to anyone at your company. Our work answers what an importer asks before that point: who you are, what exactly you supply, whether they can find you and how quickly you respond. With more than 10 years in logistics marketing, we already work in the language of Incoterms, transit times and shipping documents.

Branding & Identity

Catalogue, quotation and packing list in one trade identity

An importer often meets you first as a PDF catalogue forwarded by a colleague, and next as a quotation. We build an identity that holds up in both: a clear name and logo, a catalogue with consistent specification tables and HS codes, and letterhead for quotations, proforma invoices and packing lists. If you run several product lines or a merchant export arm, we set out how they sit under one name.

  • Logo and trade identity system
  • Product catalogue with specification tables and HS codes
  • Quotation, proforma invoice and packing list layouts

Web Design & UI/UX

HS code, MOQ and Incoterms before the buyer has to ask

Overseas buyers compare suppliers in their own working hours, often while your office is closed. We design product pages that show specifications, minimum order quantity, packing, HS code, lead time and the Incoterms you quote under, so a buyer can shortlist you without waiting for a reply. The enquiry form asks for destination port and quantity, and any registrations you hold, such as an IEC or RCMC, are listed where you choose.

  • Product and category page templates
  • Enquiry form for destination port, quantity and Incoterm
  • Document library for the test reports and registrations you hold

Digital Marketing

Enquiries from importers in the markets you ship to

Importers search in English and often in their own language, so SEO covers your product names and specifications in both where a market justifies it. Google Ads are targeted by country, so budget goes to markets where your pricing and freight costs make sense. We tidy your listings on export platforms such as Alibaba, Global Sources or TradeIndia, and invite buyers to meet you at fairs and export promotion council buyer-seller meets.

  • Country-targeted Google Ads campaigns
  • Listing clean-up on Alibaba, Global Sources or TradeIndia
  • Buyer-seller meet invitations with proforma quote follow-up

Digital Transformation

Reorders priced on the quote the buyer actually saw

An importer approves a sample and asks to reorder at the quoted price, and nobody can find which Incoterm, freight rate and exchange rate that quote assumed. Each quote is filed with the Incoterm, freight rate and exchange rate it assumed, beside the buyer's samples, proforma invoices and certificates of origin. Your team is reminded before a quote's validity lapses or when a sample has had no feedback.

  • Quote file with the Incoterm, freight and exchange rate assumed
  • Quote validity and sample feedback reminders
  • Order file for certificates of origin and shipping documents

Our approach

How we work in export & import

01

We build product pages around what an importer checks first: specifications, HS code, minimum order quantity, packing, lead time and the Incoterms you quote under.

02

We set up an enquiry form that asks for destination port, quantity and intended use, so your team can tell a genuine sample request from an FOB price check.

03

We plan campaigns around the fairs and buyer-seller meets in your sector, including those run by export promotion councils such as EEPC India or Pharmexcil, and bodies such as FIEO and APEDA. Each meeting is followed by a proforma quote on a stated Incoterm.

04

We record which platform, fair and country each enquiry came from, and whether it reached a sample, a proforma invoice and a first shipment.

Measurement

What we report on in this sector

Qualified enquiries by destination country

First orders placed after a sample

Questions

Export & Import marketing, answered

Should we rely on export platforms or build our own website?
Use both, for different jobs. Platforms such as Alibaba, Global Sources or TradeIndia bring enquiries but place you beside competitors on price, and the buyer relationship sits on their platform. Your website is where a buyer checks you out afterwards and contacts you directly. You own the website, ad accounts, analytics and data, and we take no commission from any platform we recommend.
We are a merchant exporter and do not manufacture. How should we present that?
Plainly. Many buyers value a merchant exporter who can consolidate products from several manufacturers, arrange quality checks and handle export documentation, from the commercial invoice to the certificate of origin. We build your website and catalogue around your sourcing range, inspection process and shipment handling, without implying you own a factory.
What do Indian dealers ask an importer before they stock a product?
They ask about stock held in India, lead times from your overseas supplier and who handles after-sales service. They also ask whether the product needs BIS certification or registration where a Quality Control Order or the Compulsory Registration Scheme applies, and whether the pack carries the importer details the Legal Metrology (Packaged Commodities) Rules 2011 require. We put those answers on your product pages and IndiaMART listings, so a dealer can check them before calling.
