Asking for Google reviews the right way, and replying to them

How to get a steady flow of genuine Google reviews without incentives or gating, and how to reply to praise and complaints in a way future customers trust.

A competitor down the road has hundreds of Google reviews and you have a few dozen, most of them old. Customers tell you they are pleased and promise to leave a review, but few do. Meanwhile one angry review from last monsoon sits near the top of your profile with no reply. Both problems have practical fixes, and neither needs a shortcut that puts the profile at risk.

What Google's policy rules out

Google's rules on fake engagement and conflicts of interest are strict, and several common habits break them:

  • Offering anything in return for a review, such as a discount, free delivery, cashback or entry into a prize draw, even if you do not ask for a positive one
  • Review gating, where you ask customers for a private rating first and send only the happy ones to Google
  • Reviews written by owners, staff, relatives or an agency on your behalf
  • Buying reviews, or swapping them with other businesses
  • Discouraging customers from leaving negative reviews

Google removes reviews it believes are fake and can take action against the profile that received them. Losing a batch of reviews at once does far more harm than a slow month. It also helps to avoid collecting reviews on a shop tablet or a staff member's phone, since many reviews from one device look suspicious even when they are genuine.

What is allowed, and what works, is asking every customer in a neutral way.

Ask at the moment the customer feels the result

People review when the experience is fresh and the request is easy to act on. That moment differs by business. For a diagnostic lab it is when the report arrives. For a driving school it is the day a learner passes the test. For an interior contractor it is the handover walk-through. Find yours, then build the request into that step:

  • Copy the review link from your Business Profile, using the option to ask for or get more reviews. It opens the review form directly.
  • Send it through the channel you already use with that customer. On WhatsApp, a personal message from the person who served them is best. If you send through the WhatsApp Business Platform, messages outside an open conversation need an approved template and the customer's opt-in.
  • Mention the person and the job: 'Thank you for trusting us with your new kitchen, Meera. If you have a minute, we would value a Google review.' It reads as a message from a person, not a campaign.
  • Print a QR code of the link on invoices, delivery challans or a small card at reception, so customers can review later on their own phone.
  • Give staff one neutral line to use, such as 'Would you mind sharing your experience on Google?', and ask them to use it with everyone.

Replying to good reviews

Owner replies are public, and they are read by people deciding whether to contact you. Keep replies short, personal and specific.

  • Thank the reviewer by first name and refer to what they actually praised
  • Add one detail a future customer would find useful, such as 'weekend batches start at 7am' or 'reports are also emailed as PDFs'
  • Vary your wording, because identical replies look automated and read as indifferent
  • Leave out lists of services and place names; a reply is not a place for keywords

Aim to reply within a few days. A run of recent owner replies tells visitors that someone reads what customers say.

Replying to bad reviews without making it worse

A negative review is also a public record of how you handle problems. The reviewer may never return, but the next customer will read your answer.

Write the reply for the person reading it next month, not to win the argument with the person who wrote it.

  • Check the facts first, but reply within days rather than weeks
  • Acknowledge the experience without restating the complaint in detail
  • Say briefly what you have done or will do
  • Give a named person and a direct route, such as a phone number or email address, to continue the conversation privately
  • Never disclose order details, bills, test results, addresses or anything else about the customer's dealings with you

The last point is about more than tone. India's Digital Personal Data Protection Act 2023 expects businesses to use personal data only for the purpose it was collected for, and revealing a customer's booking or results in a public reply is hard to justify. GDPR applies the same principle to customers in Europe.

If you resolve the problem, you can let the customer know they are welcome to update their review. Never make a refund or repair depend on them changing it.

When a review breaks the rules

You cannot have a review removed because it is negative or feels unfair. You can report one that breaks Google's policies, for example spam, abusive language, content about a different business, or a review from a competitor or former employee. Use the report option on the review itself, or Google's review management tool, which shows the status of your reports and lets you appeal a decision you disagree with.

Keep a short note of each report: the reviewer's name, the date, the policy you believe it breaks and your evidence, such as having no record of the booking. If the report fails, reply calmly with facts that are yours to share. Readers can usually tell a genuine complaint from a grudge when the reply stays measured.

The takeaway

Choose the single moment your customers feel the result of your work, and send your Google review link at exactly that point from now on.
