Setting up a Google Business Profile that stays verified

How to choose categories, add services and service areas, upload useful photos and pass verification, and which common edits get new profiles suspended.

You created a Google Business Profile a few years ago, picked the first category that looked close and never went back. Or you are about to create one and have heard of profiles being suspended days after verification. Either way, the answer is the same: set the profile up deliberately, in a sensible order, and avoid the small number of changes that make Google look twice.

Decide three things before you create it

Many setup problems come from decisions made in a hurry on the first screen. Settle these first.

  • Who owns it. Create the profile from a Google account linked to a company email address you control, not a staff member's personal Gmail or an agency's account. Add a second owner so the profile is never tied to one person, and give staff or agencies manager access instead.
  • What it is called. Use the name on your signage, letterhead and invoices. 'Sharma Packers and Movers' is a name. 'Sharma Packers and Movers Best Home Shifting Pune' is a name with keywords added, and it is a well-known suspension trigger.
  • Whether customers come to you. If they visit your premises, show the address. If you only travel to them, hide the address and set service areas. A business that does both, such as a tailoring shop that also takes measurements at customers' homes, can show the address and add service areas.

Choose categories and services with care

The primary category has the strongest influence on the searches you appear for, and it also decides which features and fields Google offers on your profile. Choose the most specific category that describes the core of the business, not the broadest. A clinic whose main work is braces and aligners is better described as an orthodontist than as a dentist; a general dental practice is better as a dentist than as a medical clinic.

To see what works locally, search for your main service in Google Maps and note the primary category shown on the profiles that appear first. Add secondary categories only for services that are a substantial part of the business, not ones you offer occasionally.

Then fill in the services list. Google suggests services based on your categories, and you can add your own with a short description. Describe what is included and who it suits, in the words customers use. A list of keywords with a city name after each one helps nobody.

Fill in the details customers check

  • Service areas, if you travel to customers: add the cities or localities you genuinely serve. Google's guidelines say the overall area should generally stay within about two hours' drive of your base.
  • Regular hours, plus special hours for Diwali, Eid, Pongal, Christmas or other closures, set a few days ahead.
  • A phone number answered during those hours, and a link to the website page most useful to local customers.
  • A business description that says what you do, for whom and where, in plain sentences. Leave out links and promotional offers, which the description guidelines do not allow.
  • Attributes that apply to you, such as a wheelchair-accessible entrance or free Wi-Fi, where Google offers them for your category.

Upload photos that show the business is real

Photos help a customer decide, and they help confirm the business exists where it says it does. After the logo and cover image, add your own photos in these groups:

  • The outside from the street, so a first-time visitor recognises the entrance
  • The inside, counter or work area as customers see it
  • Your team at work, with their agreement
  • Finished work, products or vehicles, rather than stock images

Take them in daylight with the phone held level, and add a few new ones every month or two so the profile does not look abandoned. Do not spend time adding GPS coordinates to image files before upload. It is a popular tip, but there is no good evidence that it helps.

Verification and the triggers for suspension

Google decides which verification methods each profile is offered. Often this is a video recorded in one continuous take. Plan it before you press record: start outside, showing the street name, a neighbouring shop or a landmark; move to your signage or branded vehicle; then show proof that you run the business, such as opening the shutter, or showing your equipment and business paperwork. Do not cut or edit the clip.

Once verified, avoid these known triggers:

  • Keywords, locations or taglines added to the business name
  • A virtual office, PO box or co-working desk without permanent signage and staff present during business hours
  • A home address left visible when customers do not visit it
  • A second profile for the same business at the same address
  • Several major edits at once, such as name, address and primary category, especially soon after verifying

Google suspends profiles that look bigger or closer than the business really is, so describe it exactly as a customer would find it.

If a profile is suspended, fix the cause before appealing. Gather proof that ties the business to the address, such as a GST registration certificate, a Shops and Establishments registration, a utility bill in the business name and photos of permanent signage, then submit an appeal from your profile. Do not create a replacement profile while the appeal is pending; it is likely to make matters worse.

The takeaway

Compare your profile's business name with your signage today and remove any city, service or tagline that does not appear on the sign.
